Privacy policy

1. Who we are
This website is operated in connection with RK Removals (referred to as “we”, “us”, or “our”). We offer removals and related logistics services, with operations linked to the United Kingdom and Hungary. For the purposes of applicable data protection law (including the UK General Data Protection Regulation as incorporated into UK law, together with the Data Protection Act 2018), we are the data controller for personal data processed through this site, unless we state otherwise for a particular processing activity.
Contact for privacy matters: you may reach us at hello@rkremovals.com. Please include “Privacy” in the subject line and allow a reasonable time for a substantive reply.
2. Scope of this policy
This policy applies when you visit our website, use interactive features (including the route and enquiry tools), communicate with us by email or telephone, or otherwise engage with us in ways that involve personal data. It does not govern third-party websites, social networks, or services operated by others, even if we link to them.
3. Personal data we collect
3.1 Data you provide directly
When you submit an enquiry or otherwise contact us, you may provide identifiers and contact details such as your name, telephone number, email address, preferred move or delivery dates, addresses or localities (collection and delivery), descriptions of goods, volumes or inventories, access constraints (for example stairs, lifts, parking), and free-text notes. If you correspond with us by email, we will process the content of those messages and the associated metadata (headers, timestamps) needed to administer the mailbox.
3.2 Technical data from your visit
Like most websites, our servers and hosting infrastructure automatically log technical information such as IP address, approximate geographic region derived from IP where available, user agent string, referring page, request timestamps, and HTTP status codes. We may also capture diagnostics necessary to secure the service and investigate abuse.
3.3 Analytics and cookies
We use cookies and similar technologies as described in our Cookie policy. Depending on your choices, this may include strictly necessary operations, audience or performance metrics, and preference storage (such as language selection). You can manage many preferences through your browser settings and our cookie disclosures.
3.4 Data we do not intend to collect
We do not seek special categories of personal data (for example health data) through this website. If you voluntarily include such information in a free-text field, we will treat it with additional care and limit use to what is necessary to handle your enquiry or to comply with law.
4. How we use personal data and lawful bases
We process personal data only where we have a lawful basis under UK law. Depending on the activity, we rely on one or more of the following:
- Contract and pre-contract steps: to respond to your enquiry, prepare quotations, and arrange services you request.
- Legitimate interests: to operate and improve the website, ensure security, analyse use in aggregate or pseudonymous form, train staff on genuine enquiry handling, prevent fraud, and defend legal claims, where those interests are not overridden by your rights.
- Legal obligation: to meet accounting, tax, health-and-safety, or regulatory duties when applicable.
- Consent: where required for non-essential cookies or certain optional communications. You may withdraw consent at any time without affecting the lawfulness of processing before withdrawal.
We do not sell your personal data. We do not profile visitors in a way that produces legal or similarly significant effects solely by automated means for general marketing.
5. Enquiries and Google Sheets workflow
When you use the enquiry or briefing forms on this site, submissions may be transmitted to workflows we operate using Google Workspace, including Google Sheets via Google Apps Script web endpoints, to log and triage requests. In that case, Google operates as an independent provider under its own terms and privacy documentation, acting in part as our processor where we configure the integration for our business purposes.
You should assume that enquiry data you submit will be visible to authorised members of our team responsible for operations, planning, and customer communications. We restrict access on a need-to-know basis and review integrations periodically.
6. Addresses, mapping, and route tools
If you enter addresses to calculate driving distance, those inputs may be processed by mapping or geocoding services (such as providers exposed through our APIs) to resolve coordinates and routes. Outputs are intended for indicative planning. Such processing forms part of providing the site feature you requested and supporting legitimate operational planning.
7. Retention
We retain enquiry and customer-related records for as long as necessary to fulfil the purposes described in this policy, including:
- Managing current and prospective jobs, quotations, and ongoing relationships.
- Establishing, exercising, or defending legal claims.
- Complying with accounting, tax, and regulatory retention requirements where they apply.
Operational logs with a predominantly technical character may be retained for shorter rolling periods appropriate to security monitoring and troubleshooting. When retention is no longer justified, we delete or irreversibly anonymise data where feasible.
8. Recipients and international transfers
We share personal data with service providers that assist us in hosting, email, analytics, mapping, cloud productivity suites, and related IT operations. Some of these providers may process data in the United Kingdom, the European Economic Area, the United States, or other jurisdictions. Where transfers occur outside the UK, we implement appropriate safeguards recognised under UK law, such as the UK International Data Transfer Agreement, Addendum, or standard contractual clauses, together with supplementary measures where a transfer risk assessment indicates they are appropriate.
9. Security
We implement administrative, technical, and organisational measures appropriate to the risks, including access controls for operational accounts, encryption in transit where supported by service configurations, and vendor due diligence for material processors. No online transmission or storage can be guaranteed perfectly secure; you accept residual risk inherent in internet communications.
10. Your rights
Subject to conditions and exemptions in applicable law, you may have the following rights:
- The right to access a copy of your personal data.
- The right to rectification of inaccurate data and to complete incomplete data.
- The right to erasure in certain circumstances.
- The right to restrict processing in certain circumstances.
- The right to data portability for data you provided where processing is automated and based on consent or contract.
- The right to object to processing based on legitimate interests or for direct marketing, where applicable.
- Rights relating to automated individual decision-making including profiling that produces legal or similarly significant effects, where such processing occurs.
You may also lodge a complaint with the Information Commissioner’s Office (ICO) in the United Kingdom if you believe our processing infringes the law. The ICO can be contacted via ico.org.uk. We encourage you to contact us first so we can seek to resolve concerns promptly.
11. Children
Our services are directed at adults making removals or logistics arrangements. We do not knowingly collect personal data from children through this website. If you believe we have unintentionally collected a child’s data, contact us so we can delete it where required by law.
12. Changes to this policy
We may update this policy from time to time to reflect legal, technical, or operational changes. The “Last updated” date at the top indicates the latest revision. Material changes may be highlighted through an on-site notice or by email where we have a suitable address and the change materially affects you.
